GENERAL DESCRIPTION
The Criminal Investigations Division (CID) of the Office of the Attorney General (OAG) is seeking an Administrative Assistant whose work will involve administrative support work for the Cold Case Unit. Work involves assigning calls, maintaining filing systems, processing mail, reviews, analyzes, documents, and other internal administrative support work.

ESSENTIAL POSITION FUNCTIONS
Administrative Assistant I:
Strong organization skills, interpersonal communication skills, and experience usingExcel, Microsoft Word, Adobe, Outlook, and graphic/digital layout and design skillsare highly recommended for this position
Receives, reviews, and distributes incoming mail and processes outgoing mail in a timely and efficient manner.
Case Management for the unit including tracking activity in pending cases,maintaining stats, assigning Calls for service numbers when required, updating and maintainingspreadsheets
Assist and prepare travel arrangement and reimbursements for unit personnel
Manage inventory for supplies and equipment for unit personnel.
Managing IT on-boarding for volunteers and new personnel; Preparing andsubmitting separation paperwork when volunteers and/or personnel depart the unit.
Managing interns and assisting with intern applications, background paperwork,orientation, and administration of the internship program.
Assisting unit personnel with training and conference organization tasks (prior to,during, and after training events)
Assists in compiling data for summaries and reports.
Corresponding with the public and other agencies with general information requestsand inquiries and maintaining logs of said communication.
Assists attorney and staff with file organization and other litigation/investigative assistance as needed. Scanning documents, organizing case files, preparing data reports, and supportingthe unit as needed
Provides general basic secretarial assistance such as copying documents, maintaining hard copy complaint files, and mailing letters as needed.
Performs related work as assigned
Maintains relevant knowledge necessary to perform essential job functions
Attends work regularly in compliance with agreed-upon work schedule
Ensures security and confidentiality of sensitive and/or protected information
Complies with all agency policies and procedures, including those pertaining to ethics and integrity
Administrative Assistant II: All of the above functions for an Administrative Assistant I, Plus:
Assisting with Intern assignments and reporting requirements
Administrative Assistant III: All of the above functions for an Administrative Assistant II, Plus:
Assisting unit personnel with grant reporting, data compilation, and applicationRequirements.
Qualifications: MINIMUM QUALIFICATIONS
Administrative Assistant I:
Education: Graduation from high school or equivalent
Experience: One year of full-time experience working in the following (or closely related) fields: administrative support, clerical work, customer service, general office, secretarial work, or legal support; may substitute thirty credit hours from an accredited college or university for the required experience on a year-for-year basis.
Knowledge of office practices and administrative procedures.
Skill in establishing and maintaining effective working relationships with other employees and the public
Skill in using a computer for word-processing and data entry/retrieval
Skill in problem solving
Skill in handling multiple tasks, prioritizing, and meeting deadlines
Skill in effective oral and written communication
Skill in exercising sound judgment and effective decision making
Ability to receive and respond positively to constructive feedback
Ability to apply to become a Texas Notary
Ability to work cooperatively with others in a professional office environment
Ability to provide excellent customer service
Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
Ability to arrange for personal transportation for business-related travel
Ability to work more than 40 hours as needed and in compliance with the FLSA
Ability to lift and relocate 30 lbs.
Ability to travel (including overnight travel) up to 5%
Administrative Assistant II - All of the above Qualifications for an Administrative Assistant I, Plus:
Experience: One additional year of full-time experience working in the following (or closely related) fields: administrative support, clerical work, customer service, general office, secretarial work, or legal support; may substitute sixty credit hours from an accredited college or university for the required experience on a year-for-year basis.
Administrative Assistant III - All of the above Qualifications for an Administrative Assistant II, Plus:
Experience: One additional year of full-time experience working in the following (or closely related) fields: administrative support, clerical work, customer service, general office, secretarial work, or legal support; may substitute ninety credit hours from an accredited college or university for the required experience on a year-for-year basis.
PREFERRED QUALIFICATIONS
Education: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basis: legal assistance work
Experience: using word, excel, adobe pro, sales force
Abilities: Type 45 wpm
Other Language: Ability to proficiently read, write, and speak Spanish.
